How to Use HeyOrca’s Social Media Approval Features

Managing Your Social Media Approval Workflow in HeyOrca

HeyOrca’s Approval System makes it easy to get your content approved by your clients or anyone from your internal team.

HeyOrca makes use of different approval stages to help your team and clients know the status of a post.

The different post stages allow you to see how far along your team and clients are with reviewing your posts. You’ll be able to see if the post is still being worked on, ready for review, if the post has been approved, needing revision, or if it’s been published. Any post requiring approval will not publish unless they have been approved by you or your team.

You can also quickly tell from the calendar what stages your posts are in, by viewing the post-stage color code on the monthly view, noted on the right side of each post tab.

HeyOrca also makes it easy for your clients to access your content that needs approval. Clients can approve social media posts or provide feedback directly on your content in HeyOrca without ever having to create an account.

Approval Stages in HeyOrca

To start assigning approvals, open the content calendar, and click on an existing post, or create a new post from the calendar.

In the Post Editor, navigate to the “Stage” section, located to the right of your media mock up on your post.

Click on the Post Stage button to get a drop-down menu where you can change the stage of the post. If you’ve just created the post, the stage defaults to ‘Draft’:

Each stage is color coded, so that it’s easy to tell what stage your post is in. Click on the Post Stage drop down arrow button to change your content’s post stage to any of the five stages: Draft, Awaiting Approval, Approved, and Needs Revision, and Published.

If your post is assigned to Draft, the button will be grey. This stage is assigned when the post is still being created and not yet ready for review by your team or clients.

If your post is assigned as “Awaiting Approval” the approval button will be yellow. This indicates that the post is ready for your team or client to review. Once you change a post to ‘Awaiting Approval’ the Approve and Needs Revision buttons will also appear, allowing easy access for your team or clients to make a decision on that post. We’ll cover approving or revising posts in our tutorial on approving or making revisions to your content.

You can also set a “Multi-approval” post stage if you need more than one person to make an approval decision on your post. When your post is set to awaiting approval, simply click the gear icon next to it. From here, you can click check boxes next to your internal and external member’s names to include these team members on that approval decision. Now you can choose multiple internal and external members who need to approve the post before it goes live, or select one individual in particular.

Once you have made your selections, click save below the list of your team members names. The names will now appear below the approval stage on your post, and will require an unanimous decision of approval for that post to be published to the social account by the scheduled date.

Once your post is approved, the post stage button will turn green. This means that the post is now scheduled to post at the future time that you have designated on your post. If the post is approved after this date, the date will need to be changed and adjusted to a date or time in the future.

When a post has been set to revise, it will not publish at it’s scheduled date and time. The post stage button will indicate this stage by displaying in red. The comments section on each post is a great place for your team to leave feedback on why a post needs revision. Once a post has been successfully published to a social account, the post stage button will display as “published” and the button will turn blue. Clicking “View Post” below will allow you to see the live post on the social account that you’ve published this content to.
